A useful fee process makes three things easy to establish: what was due, what was recorded, and what remains outstanding.

Agree the structure before collecting

Review the academic session, fee heads, class plans, installment dates, and any approved individual adjustments. Resolve discrepancies before families receive conflicting amounts.

Keep a documented opening balance when moving from another system. A correct payment record cannot fix an incorrect starting balance by itself.

Keep each payment attached to the student

Record the amount, payment date, mode, and available reference. Check that the balance changes and the receipt is associated with the correct student. Distinguish recorded manual payments from online payment-provider status.

  • Confirm the student and installment
  • Check the amount against the remaining balance
  • Record payment mode and reference where applicable
  • Review the resulting receipt and payment history
  • Investigate mismatches before issuing another record

Make follow-up specific

Use the current outstanding amount and due date when reviewing follow-ups. Check for recently recorded payments first, so a family is not contacted about an amount already collected.
